02The Client

The UK Black Business Show runs major events for Black entrepreneurs, professionals and business owners. Every show brings a wave of ticket buyers, and every one of them needs to end up in the right place in their systems: the right record in the CRM, the right mailing list, the right communications before and after the event.

03The Problem

Their ticketing system and their CRM did not talk to each other. Every ticket sold was a person the CRM did not know about until somebody manually moved the data across, worked out what kind of attendee they were, and put them on the correct mailing list.

At the scale of a major event, that is not admin, it is a part-time job. And every manual step is a chance for someone to end up on the wrong list, or on no list at all, quietly missing every email that mattered.

04What We Built

We built an automation layer that sits between the two systems and does the thinking:

Automatic sync

Every ticket purchase flows from the ticketing system into the CRM on its own. No exports, no imports, no spreadsheets in between.

Routing flows for every scenario

This was the complicated part: a web of flows that works out who each person is and makes sure they are saved to the correct mailing list, whatever combination of ticket and circumstances they arrive with.

Clean data without supervision

The flows keep records consistent as they come in, so the CRM stays trustworthy without anyone having to watch over it.

05The Outcome

The team gets hundreds of hours per year back. Attendees get the right emails because they are on the right lists from the moment they buy a ticket. And the CRM finally reflects reality without anyone spending their evenings making it so.
